CONGRESS REGISTRATION TERMS AND CONDITIONS
The INC is offering all those delegates who previously rolled over their registrations to 2021 the opportunity to do so again for May 2022 and keep the Early Bird Rate, resulting in a saving of €200. You have until December 2021 to roll over your registration.
Delegates’ registration includes access to the congress area including conference, round tables, exhibition area and the following meals: all-day coffee, lunches and evening social events. Accompanying Persons’ registration includes morning tours, if marked, with lunch, and evening social events.

If you have your accommodation booked and the deposit was settled at the official congress venue, Jumeirah Hotels, we are pleased to inform you that the hotel is giving priority for the existing reservations, and the same room rate and conditions will be kept for May 2022. The hotel will move the bookings to fit in with the new congress dates, and a new confirmation letter will be sent by email from the hotel in a few days with all of the individual booking details.
In the event that you would like to maintain your booking for May 2022, when confirming the new dates, the hotel will not ask you for further payments, only the one-night deposit paid at the time of booking. The remaining stay will be charged on Feb 28, 2022 and it will be non-refundable if you cancel after that date.
If you prefer not to transfer your booking to May 2022 but to cancel your stay for May 2021, the hotel will cancel your reservation and will refund you in full the total amount paid (this is applicable only to pre-existing reservations made for 2020). You will be able to book again when new links become available, but please keep in mind that due to the limited number of rooms available at the special INC delegates rate, all new reservations will be subject to availability. This means the INC cannot guarantee the room rate or that there will be rooms available; the hotel will offer the best rate possible at the time of booking.
If the hotel doesn’t receive any reply before April 15, 2021, it will keep your booking.

The INC can provide an additional letter of invitation, which can be requested by email at email@example.com
In order to get an invitation letter, your INC Membership and your congress registration must be paid. The information required by the INC to set up the letter which you should provide is the following:
Name badge is required to attend all congress events. To obtain the badge, participants must be registered and proper fees must be paid. Badge will be delivered at the INC registration desk. Please check the program for registration hours.
The list of participants will be available at the Virtual Meeting Point and Congress App prior to the congress.
Registration fees do not include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance. Participants are advised to arrange their own insurance policies before departure from their countries, as required. Please check if such insurance coverage is accurate and complete in accordance with the activities to be carried out during the Congress.
While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.
The host organization and its suppliers are not liable for personal accidents or losses or damages to private property of attendees of the Congress.
Confirmation letters will be sent on receipt of payment, which must be made at the time of booking. For new registrations on-site, payments will be accepted only with a personal credit card (cash will not be accepted).
Full refund will be given if cancellation is received prior to December 31, 2021 and a 10% administrative fee will be charged for cancellations received after December 31, 2021. No refunds will be made for no- shows or if you cancel after April 15, 2022, whatever the reason.
Cancellations must be made in writing and you must have written acknowledgement from the INC secretariat to be entitled to a refund. If you are unable to attend, a substitute delegate may be registered before April 15, 2022. It may be necessary for reasons beyond the control of the organizers to alter the content, timings or venue. The organizers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply.
In the event of a terrorist alert or incident that prevents the running of the congress, the organizers reserve the right to retain up to 50% of the fees as a contribution to registration location, marketing and central administration costs.
For Sponsors & Exhibitors
Full refund will be given if cancellation is received prior to March 31, 2021. A 10% administrative fee will be charged for cancellations until December 31, 2021. For cancellations received from January 1 to March 15, 2022, a 50% administrative fee will apply. No refunds will be made for cancellations received after March 15, 2022.
Those sponsors that rolled over their sponsorships to 2022 and then cancel their sponsorship having enjoyed any of the “extraordinary benefits”, such as company banner on NL or advertorial, the INC reserves the right to value these services and charge them at fair price if convenient.
