CONGRESS REGISTRATION TERMS AND CONDITIONS

Registration transition from 2020 to 2021: 

The INC is opening the option to carry-over all paid congress registrations for next year’s congress in Dubai.

If you are an Early bird delegate and you are willing to keep your registration for next year, we will keep the early bird rate for you, resulting in a saving of €200. In addition, you will be eligible to go into the “Early Bird Raffle”, consisting of the following three prizes and selected from each of what are considered to be the INC’s main regions (America, Europe and Rest of the World). You will stand the chance to win:

FIRST PRIZE: One participant will win a free congress standard sponsorship, valued at €4000 – Standard Congress benefits include an advertisement banner in the May 2021 newsletter, the company logo on the main on-site graphic materials and INC publications (magazine, website, newsletters, brochures, etc.)

SECOND PRIZE: Six participants will win a free upgrade from a standard room to an Ocean View Room for a maximum of four nights stay at Jumeirah Hotels. Two winners will be selected from each of the INC’s 3 main regions as stated above.

THIRD PRIZE: Nine participants will win a free daily breakfast at the hotel for a maximum of four days stay at Jumeirah Hotels. Three winners will be selected from each of the INC’s 3 main regions as stated above.

If you are a Regular delegate and you are willing to keep your registration for 2021 you will get a direct discount, a refund of €200 for each delegate will be received.

If you prefer to cancel your registration you will receive a full refund. You will be able to register again from September 15, 2020 onwards with the Regular Participant fee or Last Chance fee, depending on the time of your registration. Early bird rate will no longer be available.

If you are registered with an accompanying person, the accompanying person will be subject to the same conditions as those chosen by you as a delegate. They do not enter in the raffle, nor receive any discount. If they prefer to cancel, they will receive a full refund. And later on, if they want to register again, different fees will apply depending on the time of registration.

The INC will reopen registrations for Dubai 2021 on December, 2020.  From the reopening date to March 15, 2021 you will be able to register with Regular congress rate. From March 16, 2021 to dates of the congress, prices will increase to the last chance pricing.

Registration will close when full capacity is reached.

Non-member and New-member registrations must be submitted before March 15, 2021.


Congress Overview

Delegates’ registration includes access to the congress area including conference, round tables, exhibition area and the following meals: all-day coffee, lunches and evening social events. Accompanying Persons’ registration includes morning tours, if marked, with lunch, and evening social events.

Hotel

If you have already booked your accommodation at the official congress venue, Jumeirah Hotels, hotel representatives will send you a new confirmation letter by email regarding your booking in the following days. Check-in and check-out dates will be adapted to fit in with the new congress dates in May 2021, and the hotel will relocate your booking within the official congress venue of Madinat Jumeirah resort and Jumeirah Beach hotel.  For example, if you have booked for 4 nights, checking in on the day before the congress and checking out on the day after, your dates will remain the same in May 2021. So, this means that if your check-in was on May 27, 2020 and check-out was on May 31, 2020 it will be adapted to: check-in on May 26, 2021 and check-out on May 30, 2021.

  • In the event that you would like to maintain your booking for May 2021, when confirming the new dates, the hotel will ask you for a non-refundable second night deposit. Ensuring 50% of the stay will be settled. The remaining stay will be charged on Feb 1, 2021 and it will be non-refundable if you cancel after that date.
  • If you prefer not to transfer your booking to May 2021 but to cancel your stay for May 2020, the hotel will keep the 1-night non-refundable deposit already paid at the time of booking, this as per the original conditions of the booking.
  • If you have not yet booked your accommodation, the INC will facilitate a new link to book at the Jumeirah Hotels as soon as possible.


In any case, the hotel kindly asks for your confirmation before May 31, 2020.

Visa 

Visa requirements in the UAE depend on various factors such as your nationality, why you're visiting, how long you want to be in Dubai, etc. You do not need a visa before you arrive if your nationality belongs to one of the GCC nations or if it appears in the list of the link below:

The INC can provide an additional letter of invitation, which can be requested by email at inc@nutfruit.org

In order to get an invitation letter, your INC Membership and your congress registration must be paid. The information required by the INC to set up the letter which you should provide is the following:

  • Company
  • Name and Surname
  • Passport Number
  • Date of Issue
  • Place of Issue
  • Passport Expiry Date


Badges
 

Name badge is required to attend all congress events. To obtain the badge, participants must be registered and proper fees must be paid. Badge will be delivered at the INC registration desk. Please check the program for registration hours.

Registration List 

The list of participants will be available at the Virtual Meeting Point and Congress App prior to the congress.

Insurance 

Registration fees do not include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance. Participants are advised to arrange their own insurance policies before departure from their countries, as required. Please check if such insurance coverage is accurate and complete in accordance with the activities to be carried out during the Congress.

While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.

The host organization and its suppliers are not liable for personal accidents or losses or damages to private property of attendees of the Congress. 

Terms & Cancellation conditions

Confirmation letters will be sent on receipt of payment, which must be made at the time of booking. For new registrations on-site, payments will be accepted only with a credit card (cash will not be accepted).

Full refund will be given to registrants if cancellation is received prior to May 31, 2020. A 10% administrative fee will be charged for cancellations received from June 1, 2020. No refunds will be made for no-shows or if you cancel after May 1, 2021, whatever the reason. Cancellations must be made in writing and you must have written acknowledgement from the INC secretariat to be entitled to a refund. If you are unable to attend, a substitute delegate may be registered before May 1, 2021. It may be necessary for reasons beyond the control of the organizers to alter the content, timings or venue. The organisers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply. In the event of a terrorist alert or incident that prevents the running of the congress, the organizers reserve the right to retain up to 50% of the fees as a contribution to registration location, marketing and central administration costs.


For Sponsors & Exhibitors

A 10% administrative fee will be charged for cancellations until March 1, 2021. For cancellations received from March 2 to April 1, 2021, a 50% administrative fee will apply. No refunds will be made for cancellations received after April 1, 2021. Cancellations must be made in writing and you must have a written acknowledgement from the INC secretary to be entitled to a refund. It may be necessary for reasons beyond the control of the organisers to alter the content, timings or venue. The organisers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply. In the event of a terrorist alert or incident that prevents the running of the congress, the organisers reserve the right to retain up to 50% of the fees as a contribution to registration, location, marketing and central administration costs.
