CONGRESS REGISTRATION TERMS AND CONDITIONS

Registration Instructions

  • Registration will close when full capacity is reached.
  • Non-member and New-member registrations must be submitted before August 7, 2020.
  • Early bird rates will ONLY be available if payment is received by December 15, 2019.
  • All registrations received after December 15, 2019 will be treated as regular registrations with the corresponding fee.

Congress Overview

Delegates’ registration includes access to the congress area including conference, round tables, exhibition area and the folllowing meals, all-day coffee, lunches and evening social events. Accompanying Persons’ registration includes morning tours, if marked, with lunch, and evening social events.

Hotel

Please make your hotel reservation on-line by visiting the following link: https://nutfruitcongress.org/dubai2020/accommodation Accommodation will be allocated on a first come, first served basis. If you have any questions or need additional information, you can email us at inc@nutfruit.org.

If you have already booked your accommodation at the official congress venue hotels, the hotel will send you a new confirmation letter regarding your booking by email in the following days. Check in and check out dates will be adapted to fit in with the new congress dates in October, and the hotel will relocate your booking within the official congress venue of Madinat Jumeirah resort and Jumeirah Beach hotel.  

For example, if you have booked for 4 nights, checking in on the day before the congress and checking out on the day after, your dates will remain the same in October. So, this means that if your check in was on May 27 and check out was on May 31, it will be adapted to: check in on October 10 and check out on October 14.

If you have not yet booked your hotel room, the INC will facilitate a new link to book at Jumeirah Beach Hotel as soon as possible.

In the next few days, you will automatically receive a new confirmation letter from the hotel. If you would like to modify your reservation regarding check in and check out dates and/or the number of nights, please forward the confirmation email to the corresponding hotel representatives. Madinat Jumeirah and Jumeirah Beach hotels kindly ask you to amend bookings before March 31 if possible.

Visa 

Visa requirements in the UAE depend on various factors such as your nationality, why you're visiting, how long you want to be in Dubai, etc. You do not need a visa before you arrive if you are of the following nationalities, or belong to one of the GCC nations:

Australia, Austria, Belgium, Brunei, Bulgaria, Canada, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hong Kong, Hungary, Iceland, Ireland, Italy, Japan, Latvia, Liechtenstein, Lithuania, Luxembourg, Malaysia, Malta, Monaco, Netherlands, New Zealand, Norway, Poland, Portugal, Romania, San Marino, Singapore, Slovakia, Slovenia, South Korea, Spain, Sweden, Switzerland, The Vatican, United Kingdom and the United States of America.

If you don't belong to one of the listed countries or from a GCC nation, you will need a valid visa applied by a sponsor prior to your arrival in the UAE. Sponsors could be:

  • Hotels and tourist companies can apply on your behalf for:

              30-day Tourist Visa, which can be extended to 40 day              
              14-day Service Visa, or              
              30-day Visit Visa, which can be extended for 30 days

  • Airlines and airlineshandlers can apply on behalf of their crew members for a 96-hour Transit Visas
  • Other UAE organizations may apply only for Visit or Service Visa.
  • Individuals (relatives or friends) already resident in the UAE may also, subject to guidelines, apply on your behalf for a Visit Visa

The INC can provide an additional letter of invitation, which can be requested by email at inc@nutfruit.org

In order to get an invitation letter, your INC Membership and your congress registration must be paid. The information required by the INC to set up the letter which you should provide is the following:

  • Company
  • Name and Surname
  • Passport Number
  • Date of Issue
  • Place of Issue
  • Passport Expiry Date


Badges
 

Name badge is required to attend all congress events. To obtain the badge, participants must be registered and proper fees must be paid. Badge will be delivered at the INC registration desk. Please check the program for registration hours.

Registration List 

The list of participants will be available at the Virtual Meeting Point and Congress App prior to the congress.

Insurance 

Registration fees do not include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance. Participants are advised to arrange their own insurance policies before departure from their countries, as required. Please check if such insurance coverage is accurate and complete in accordance with the activities to be carried out during the Congress.

While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.

The host organization and its suppliers are not liable for personal accidents or losses or damages to private property of attendees of the Congress. 

Terms & Cancellation Conditions

Confirmation letters will be sent on receipt of payment, which must be made at the time of booking. For new registrations on-site, payments will be accepted only with a personal credit card (cash will not be accepted). Full refund will be given to EARLY registrants if cancellation is received prior to March 1, 2020 and a 10% administrative fee will be charged for cancellations received after February 29, 2020.

All REGULAR registrations will be charged a 10% administrative fee. No refunds will be made for no- shows or if you cancel after August 7, 2020, whatever the reason.

Cancellations must be made in writing and you must have written acknowledgment from the INC secretariat to be entitled to a refund. If you are unable to attend, a substitute delegate from the same company may be registered before August 7, 2020. It may be necessary for reasons beyond the control of the organizers to alter the content, timings or venue. The organisers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply.

In the event of a terrorist alert or incident that prevents the running of the congress, the organizers reserve the right to retain up to 50% of the fees as a contribution to registration location, marketing and central administration costs.


SPONSORSHIP TERMS AND CONDITIONS

Cancellation Policy

A 10% administrative fee will be charged for cancellations until March 1, 2020. For cancellations received from March 2 to April 1, 2020 we will apply a 50% administrative fee. No refunds will be made for cancellations received after April 1 2020, whatever the reason. Cancellations must be made in writing and you must have a written knowledge from the INC secretariat to be entitled to a refund. It may be necessary for reasons beyond the control of the organisers to alter the content, timings or venue. The organisers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply. In the event of a terrorist alert or incident that prevents the running of the congress, the organisers reserve the right to retain up to 50% of the fees as a contribution to registration, location, marketing and central administration costs.
