Congress & registration

Yes, non-Members can also register for the Congress, but do not have access to the Participants list neither the Presentations.

The registration form must be completed in its entirety. New-Members and Non-Member Delegates must also complete the additional information.

Confirmation letters will be sent on receipt of payment, which must be made at the time of booking.

Congress registration starts in December 2018 and will close when full capacity is reached.

After May 10, 2019 registrations may be accepted on-site if full capacity has not been reached. Registration on-site will be at Boca Raton Resort & Club, beginning on Tuesday May 21. Please consult the program for registration hours.
Early bird closing date is February 15, 2019. Early bird rates will ONLY be available if the payment is received before February 15, 2019.

All registrations received after February 15, 2019 will be treated as regular registrations with the corresponding fee.

If the payment is received before 10 May, 2019 the INC will confirm the registration in two weeks. If confirmation isn't received within two weeks, please contact us to ensure your registration form has been received correctly.

After May 10, 2019 you may not receive a confirmation letter, if so, please contact us to ensure your registration form has been received correctly.

Registration may be accepted on site if full capacity has not been reached, payments will be accepted only with a personal credit card (cash will not be accepted).

Delegate’s registration includes Intercontinental breakfast, all day coffee, meetings, lunches and evening social events.

Your badge will be delivered to the INC registration desk. Please consult the program for registration hours. To obtain the badge, participants must be registered and fees must be paid. Your name badge is required in order to attend all congress events.

All the information related to your congress registration will appear on your badge: Name, Surname, Comercial Company Name and Country.

You may show your business card or any identification with your name in order to get your badge.

The list of participants will be available for INC members at the Virtual Meeting Point and Congress App some months prior to the congress and will be updated daily. Access to the Virtual Meeting Point will be available on the Congress website.

Only INC Members can access the Congress Meeting Point. To be allowed access to the Meeting Point, your INC Membership must be paid.  We inform you that ONLY participants who have paid both their membership and their congress registration will appear at the Meeting Point.

Full refund will be given to EARLY registrants if cancellation is received prior to March 1, 2019 and a 10% administrative fee will be charged for cancellations received after February 28, 2019.

All REGULAR registrations will be charged a 10% administrative fee.

No refunds will be made for no-shows or if you cancel after May 1, 2019, whatever the reason. Cancellations must be made in writing and you must have written acknowledgement from the INC secretariat to be entitled to a refund. If you are unable to attend, a substitute delegate may be registered before May 1, 2019. It may be necessary for reasons beyond the control of the organizers to alter the content, timings or venue. The organizers will not accept liability for any transport disruption or individual transport delays and in such circumstances normal cancellation terms apply.

In the event of a terrorist alert or incident that prevents the running of the congress, the organizers reserve the right to retain up to 50% of the fees as a contribution to registration location, marketing and central administration costs.
Registration fees do NOT include insurance of any kind. Congress Organizers do not take responsibility for any individual, medical, travel or personal insurance for any participant failing to arrange their own insurance.

Participants are advised to arrange their own insurance policies before departure from their countries, as required.

While every attempt is made to ensure efficient, trouble-free hospitality, including hotel accommodation, sightseeing and tours, participants are advised that the organizers are in no way liable in the event of any necessary modifications, including changes to itineraries for tours due to delays or cancellations of flights/other circumstances beyond the organizers’ control.

The host organization and its sponsors are not liable for personal accidents or losses or damages to private property of attendees of the Congress.

All conference sessions will be conducted in English only. There will also be translation into Chinese.

Business attire is recommended for the congress sessions. For social events we recommend cocktail dress for the welcome cocktail, smart casual for the casual buffet dinner and black tie or culturally traditional attire for the Gala Dinner.

Tables can be booked only for the Gala Dinner. Booking available from April 2019.

General information, hotel & travel

The city airport is “Boca Raton Airport”, which is one of the premier general aviation facilities in the Southeast. Situated off of I-95, midway between West Palm Beach and Ft. Lauderdale, the Airport’s convenient location puts you just minutes from business centers, arts and entertainment, shopping and beaches.. It takes around 12 minutes to arrive at Boca Raton Resort & Club by car, depending on traffic conditions.

There is not a shuttle service to and from the hotel, we suggest a taxi (there are plenty of taxis that wait at the airport).

Please remember to label your bags with personal tags.

We suggest that you carry a copy of your passport with you and leave your original passport at the hotel. Should you lose your passport, please inform the organization.

While walking or shopping, be aware of your surroundings and keep valuables close at hand. Make a copy of all your credit cards, airline tickets, passport and important documents, front and back. It is recommended to leave your passport and valuable belongings safe at the hotel.

The US is largely a cashless society, and you will rarely need to use cash unless you prefer this payment method.

There are 24-hour ATMs all over the city. International credit cards are widely accepted. Normal commercial banking hours are from 8:00 AM to 2:00 PM, Monday to Friday. Banks are closed on weekends and on public holidays.

The month of May is characterized by rising daily high temperatures, with daily highs increasing between 26°C to 30°C and lowest temperature dropping to 22°C, which tends to be in the evening.

The law of Florida generally prohibits smoking in enclosed indoor workplace. However, certain indoor areas are exempted from the smoking regulations.  These include private residences which are not commercially used to provide child care, adult care, or health care, or any combination thereof, enclosed indoor workplace dedicated to or predominantly for the retail sale of tobacco, tobacco products, and accessories, designated smoking guest room at a public lodging establishment and in any business that meets the definition of a stand-alone bar that otherwise complies with all applicable provisions of the Beverage Law. Exemption from smoking regulation is also given to an enclosed indoor workplace, to the extent that tobacco smoking is an integral part of a smoking cessation program approved by the department, or medical or scientific research conducted therein.  However rooms in which tobacco smoking is permitted must comply with the signage requirements as required by law. Smoking, subject to some restriction is also permitted in customs smoking room in an airport in-transit lounge under the authority and control of the Bureau of Customs and Border Protection of the United States Department of Homeland Security.

The Boca Raton Resort & Club is a non-smoking facility. There are designated outdoor smoking areas located at both the Main Resort and Boca Beach Club.

The electrical voltage system in the United States is 110 volts. If you are traveling from a country outside of North America, you will need a proper voltage converter and adapter in order to operate your electrical appliances.

The INC recommends Agility Fairs & Events as the Official Freight Forwarder and Customs Broker for handling all international freight to the INC World Nut and Dried Fruit Congress venue in Boca Raton, US. Please, contact Agility Spain S.A. before April 8, 2019 in case you need to send any materials or food products to the Congress through INC official freight forwarder and customs broker.

Please note that all materials and/or food products need to be cleared through US customs and specific documentation may be needed for shipping, depending on the origin and characteristics of the goods. Importation of any goods and/or food products into the US will not be possible without the approval by the corresponding authorities. Please note that most couriers do not give out accurate US customs information and do not offer customs clearance services.

For shipments containing food products, US Food and Drug Administration (FDA) requires prior notice of the arrival of the shipment, as well as FDA registration number and Unique Facility Identifier UFI (DUNS) number. Failure to comply with the aforementioned requirements as well as any other obligations, importation into the US will not be possible.

The INC does not act as a shipping company, customs agent or freight forwarder. As a consequence, the INC recommends Agility Fairs & Events as the official freight forwarder and customs broker for handling all international freight to the INC World Nut and Dried Fruit Congress venue in Boca Raton, US, in case your company chooses to contract their services.

The INC recommendation shall not be taken as an endorsement by the INC of the Agility Fairs & Events services, neither as an obligation to INC Congress participants to contract the aforementioned company as freight forwarder and customs broker. The services provided by third parties such as Agility Fairs & Events among others, under no circumstances could be considered within the INC control, and the INC cannot and will not take any responsibility for the performance or accuracy of their services.

The INC shall not be liable for any loss or damage of whatever nature (direct, indirect, consequential, incidental or other) arising from the services provided by Agility Fairs & Events, or by any other third parties offering shipping, freight forwarder and customs broker services.

The INC does not take any responsibilities arising from INC Congress participants failure to transport and/or import any materials or food products to the INC World Nut and Dried Fruit Congress venue in Boca Raton, US. Consequently, the INC shall not be liable for any loss or damage of whatever nature (direct, indirect, consequential, incidental or other) arising from the INC Congress participants failure to ship, or partially failing to import any goods and/or food products to the US, as well as the failure to transport the goods back to their home country.

The INC expressly declares that the INC is not a party in the contract that your company shall sign with Agility Fairs & Events or with any other company offering such services and shall have no responsibilities of any type derived from the formalization of the aforementioned contract or from the services therein provided by any third party acting as an independent contractor.

In order to get an invitation letter, your INC Membership and your congress registration must be paid. The information required by the INC to set up the letter which you should provide is the following:

Boca Raton is a main city in the Greater Miami Area, known for its golf courses and natural beauty with parks and beaches. Red Reef Park is among the area’s must-visit attractions.
